Annual Notifications, Free ZOOM accounts and More

  • Annual Notification Document: Attached is the annual notification document. It includes the Technology Use Agreement and any other required notifications. There is a media “opt” out form at the end. The media opt out only needs to be completed for those students who do not want to be photographed. The opt out forms are to be sent to the GCC when completed. There is a separate signature document (both fillable and regular) attached. All students need to return a signed form that outlines receipt and review of your school handbook, the GCC Annual Notifications, and Technology Use Agreement. A digital version of the Annual Notifications and your School Handbook need to be posted on your website. We are not printing copies this year. We are working on getting the items translated and hope to have it to you ASAP.
  • Free ZOOM accounts: Zoom has extended their offer for free accounts to educators. This offer removes the 40 minute time limit. It also allows for the use of breakout rooms. However, in order to use the free educator version and breakout rooms you must create a Zoom account with your GCC email address and breakout rooms have to be turned on in the settings menu. Here are the instructions on how to turn breakout rooms on: In the navigation menu, click User Management then Group Management. Click the Settings tab. Navigate to the Breakout Roomoption on the Meeting tab and verify that the setting is enabled. If the setting is disabled, click the toggle to enable it.
  • Food Service: Aaron shared an email with you last week regarding food service. A couple items to add to that communication. We don’t know the expectations that TRUSD will have in regards to your site level support for food delivery. Be aware they may ask for support and you should plan on having staff available just in case. Also, it may be helpful to consider what traffic impact food pickup may have on your site. Consider that you may have many parents coming to your school site for food pickup in large numbers and it might be helpful to consider strategies to minimize backups (ie…staggered pickup times, staff to support student verification etc). Also, your custodian is required to sanitize and disinfect the kitchen with COVID 19 protocols. That sanitation is beyond just basic cleaning. Please communicate to your staff the need to ensure COVID19 cleaning protocols are being followed.
  • Learning Continuity Plan: CDE has released the instructions and final template. I will be reaching out soon to discuss the process and next steps. Jason and I will also be in touch in response to your requests in the Google Form for Stakeholder Engagement Support. I have attached the instructions for the template for your reference.
  • Needs list items from the Retreat follow-up
    • Technology Training: Recording training and resources for Google Meet, Google Classroom and other tools are located in the Technology Tuesday Google Classroom. Please share the join code with your staff and have them add the class in Google Classroom (classroom.google.com) the join code is: ekdzucm More training is coming and will be posted in that Classroom and held live. However, please reach out if I can support your team sooner. I am happy to help how it works for you and your school. I will be adding distance learning and other technology resources to this Google Classroom as well. If you join, you will get a notification when items are posted.
    • Business Services Training: There will not be a group training this year. However, if you have staff that needs support please reach out to Aaron and he will arrange for a 1:1 training
  • Electronic Signature Platform: We are in the process of purchasing a platform (probably Docusign) to support digital signatures. Details to come soon.
  • Aeries Data Verification: A separate email will outline how to print the data verification forms from Aeries for parent review and update
  • Enrollment Documents: I believe all the enrollment documents have been shared with each site in fillable form and translated. Please reach out if you need something.
